For Security Guards ·
What you'll accomplish
By the end of this guide, you'll have Claude set up with your site's post orders loaded as a knowledge base. Instead of digging through a 40-page PDF to find the right procedure, you'll ask a plain-English question and get the exact answer in seconds — available anytime from your phone.
What you'll need
Open your phone browser and go to claude.ai. Tap Sign Up, enter your email address, verify it, and set a password. You're now on the free plan — which is all you need for this guide.
What you should see: The Claude home screen with a chat interface and a text box at the bottom.
Troubleshooting: If you already have a Claude account, just log in. If you prefer ChatGPT, this same guide works — the feature is called "GPTs" on ChatGPT and requires a $20/mo Plus subscription.
On Claude's home page, look for "Projects" in the left sidebar (on desktop) or tap the menu icon (on mobile) and find Projects. Tap "New Project" and name it something like "Post Orders — [Your Site Name]."
What you should see: A new project with a chat interface and a section for project instructions and uploaded files.
Troubleshooting: If you don't see Projects, make sure you're logged in. Projects is available on the free tier.
Inside your new project, look for an upload or attachment icon (paperclip or file icon) in the project setup area. Tap it and upload your post orders PDF or document. Claude will process and index the document.
If your post orders are paper-only, you have two options:
What you should see: Your document listed as an attached file in the project.
Troubleshooting: If the file is too large, split it into sections — upload the emergency procedures in one upload, visitor management in another.
In the project instructions area, type: "You are a helpful assistant for a security guard at [site name]. Answer questions based strictly on the post orders document provided. When you don't know the answer from the document, say so — don't make up procedures. Use plain, direct language."
This helps Claude stay focused on your actual post orders rather than making up generic security advice.
What you should see: Your instruction saved in the project setup.
Go to the project chat and type a question you'd normally look up in your post orders, such as:
What you should see: A direct, specific answer drawn from your post orders — with the page or section referenced.
Troubleshooting: If the answer seems generic (not from your post orders), check that the file uploaded correctly by going back to project settings and confirming the attachment is there.
On your phone browser, open claude.ai. Go to the browser menu (three dots or Share button) and tap "Add to Home Screen." This puts a Claude icon on your home screen so you can open it as fast as any app.
